Terms and Conditions

NEWCASTLE INTERNATIONAL SCHOOL LTD., ENGLAND, Company number 12177963,

Incorporated under Act 1985 as a private and limited company, presents the following contract to be signed by both interested parties. On one hand, the Director of Newcastle International School, and secondly the group leader who must be an adult (in the case of schools, groups…) or the individual student if over 18 years of age or, if under, signed by the parents or guardians.

1. REGISTRATION, PRICE AND PAYMENT

GROUPS:

  1. All enrolment applications by groups for any of our programmes must be made 12 weeks in advance of programme commencement. At the time of booking a €/£300 deposit per student must be paid for the total programme cost per student. A deposit will not be refunded under any circumstances.
  2. If the programme date is within our high season (March-April, June-August) the reservation must be made prior to 16 weeks of commencement.
  3. The balance must be received by Newcastle International School at least six weeks prior to programme commencement. If the complete payment for the course is not received by the date specified on our invoice/ confirmation, Newcastle International School reserves the right to cancel the reservation and claim appropriate cancellation fees.
  4. Registration will take place through the official documentation of Newcastle International School Limited, which will facilitate the organization via e-mail. It may also be obtained through the website of the organization.

INDIVIDUALS:

  1. All requests for inclusion in any of our programmes by individuals must be made at least 12-16 weeks in advance. In this case, the remaining balance for the rest of the programme booked by individuals must be received by Newcastle International School at least 30 days before the programme commences. At the time of booking a 50% deposit per student must be paid for the total programme cost per student. A deposit will not be refunded under any circumstances if the cancelation isn’t for strict medical reasons. If full payment is not received by us by the date indicated on our invoice/confirmation, we reserve the right to cancel the reservation and claim appropriate cancellation fees.
  2. If the registration request is made after 12 weeks prior to the starting date, the total cost for the programme must be made at the time of booking.
  3. A 10% surcharge above the total programme price is applicable if the booking is made less than 4 weeks prior the starting date.

 

GENERAL CONDITIONS:

  1. Newcastle International School Limited will not process any application for a programme unless such an application is accompanied by proof of a money-transfer being made via e-mail according to the above conditions.
  2. All bookings are non-transferable. Any change of name, or other error outside the control of Newcastle International School Limited, will have an extra charge to the customer according to extra costs charged to us by the airline with whom the original tickets were purchased.
  3. This contract is not be valid until Newcastle International School has received confirmation from the customer, in writing or via e-mail, plus all necessary payments received. In the event of unforeseen circumstances, no compensation will be paid or discounts offered, for services not included in the price used by the customer such as, delays in implementing the course, early departure or missed classes, time used for testing ability of students for classes, group assignment on the first day or cancelled activities due to adverse weather conditions.

2. PRICES

  1. The prices for all programmes are shown in the Euro /Sterling The price for programmes is not negotiable. The final invoice from us will show the deposit and final amount paid at appropriate dates.
  2. Newcastle International School Limited offers a free place for one teacher for every 15 students in a group. Additional teachers will be charged 600 euros/sterling per person per week to accompany the group.

3. FLIGHTS

  1. Deposit payments received for groups and individual students is used on receipt to purchase flight tickets. This cost is non-refundable under any circumstances.
  2. Newcastle International School Limited includes in the total price of the groups, or individual students programmes, the return flight to origin and one hold suitcase.
  3. Newcastle International School Limited reserves flights to destination from the nearest airport to the city of origin for the group or individual students.
  4. Transfers to/from origin airports are not included. (Please note that some airlines to destinations chosen do not operate from airports closest to cities of origin).
  5. Newcastle International School Limited reserves the right to organize the flight from a different airport, further from the city of origin of the group or individual even if the airline operates from the closest city. In such cases, Newcastle International School will pay the transfer cost to the airport.
  6. Newcastle International School Limited boarding passes are processed with data received by the representative of the group or individual student. Newcastle International School Limited will not be responsible for errors in names or other personal data that has been sent by the Head of the group or an individual student. Any charge made by an airline to make changes in such situations will be passed by us to the appropriate group or individual.
  7. Newcastle International School Limited reserves the right to book flights three days before, or three days after, the date specified by the customer.

4. CANCELLATION, NO SUBMISSION AND/OR CESSATION OF THE PROGRAMME BY THE CUSTOMER

  1. Newcastle International School Limited will not refund the booking deposit under any circumstances (30% of the programme).
  2. Cancellations must be notified to Newcastle International School Limited, which may retain all expenses incurred by the company to date. By way of example but not limited to: payments to third parties involved in the programme (teachers, host -families, insurers, telephone calls and any other expenditure on infrastructure and/or logistics, among others).
  3. In order to inform the customer of the approximate amount of the deductions or charges to be made and further margin determination, the withholding or withdrawal charges apart from the value of the reserves, amount to:
  4. 30% between 29 and 15 days before the programme starting date
  5. 50% between 15 days and 10 days before the starting date
  6. 100% If 10 days or less from the starting date
  7. The customer is not entitled to any refund if, after the starting date, any customer leaves voluntarily, whether groups or individuals.

5. FAMILIES

  1. Newcastle International School Limited will organize the accommodation for students in families following the recommendations of the centre, as long as they are sent to the organization at the time of making the reservation by the excel document requested by Newcastle International School Limited.
  2. Newcastle International School Limited will not make any changes to the accommodation of students four weeks prior the starting date.
  3. Newcastle International School Limited reserves the right to make accommodation changes due to specific requests, after an analysis of the problem and never before 24 hours of notification. (Saturdays and Sundays are excluded for making changes).
  4. Newcastle International School Limited does not allow mixed-sex groups for family accommodation, except brothers/sisters and under exceptional circumstances.
  5. Newcastle International School Limited endeavours to respect the groupings requested by groups or conditions requested by individual students. However, during the months of May, June and July, Newcastle International School Limited cannot guarantee accommodation in pairs, single, or exclusivity of students from same groups.

6. PROGRAM CHANGES AND IMPACTS

Newcastle International School Limited is committed to provide customers with all contracted services detailed in the programme, except discrepancies not committed by Newcastle International School Limited. There will be no obligation on the part of Newcastle International School Limited to indemnify the customer when a programme cancellation is caused by force majeure, or justified cause. This means circumstances beyond the party pleading, abnormal consequences would have been unavoidable despite having acted with due diligence. The differences and/or claims, in the opinion of customers, arising during programme contract shall be made known to the organization responsible for the programme in the destination country, in order to provide a satisfactory solution with immediate effect. In the event that a solution proposed by the organization responsible for the country of destination is not satisfactory, the customer will have a period of one month to submit a written complaint to Newcastle International School Limited after obtaining the relevant documentation which provides, in turn, a period of one month to respond to the complaint by the customer.

7. USES OF THE COUNTRIES WHERE THE PROGRAMMES ARE DEVELOPED AND MANDATORY STANDARDS ITS DEVELOPMENT

The students must adapt to the lifestyle and customs of the country in which the program operates. The student agrees to respect the laws of the country of destination and rules of discipline of the school where the training takes place. In particular the student agrees rules on schedules, attendance, behaviour and relation with teachers, classmates and families, consumption of snuff, drugs, alcohol, etc… If a student breaches some of the rules, he/she will be dropped from the programme and would be responsible for any expenses arising from early return to Spain. Reasons for immediate expulsion will include: stealing, even if the value of the stolen is relatively small, alcohol consumption under legal age to consume, drugs.

8. PASSPORT, VISA AND DOCUMENTATION

All customers who sign an agreement with Newcastle International School Limited programmes, including children, must have their personal documents in order (individual passport, identity card), according to the regulations of the country where the programme is developed. Obtaining visas, where the law of the country so requires, will by the customer.

9. INSURANCE

Newcastle International School Limited includes in the price travel insurance (EU countries only), including health, illness, death, theft… (Does not include customer cancellations or extra airline fees)

MEDICAL TREATMENT, PHARMACOLOGICAL AND/OR SURGICAL

The student must inform Newcastle International School Limited if undergoing special medical treatment while in his/her country. Also, in the event that, during the course of the programme, the client needs medical treatment, and/or has to be hospitalized and/or undergo surgery without Newcastle International School Limited being able to contact parents, guardians or legal representatives, Newcastle International School Limited is authorized to take such action as it deems fit for consumer health.

10. USE OF THE CUSTOMERS IMAGE

Newcastle International School Limited reserves the right to use photographs and other materials with the image of clients participating in the programme, if there is no prior opposition expressed by the customer. However tacit authorization to which we refer may be revoked at any time by the client, but will be compensated where appropriate for damages caused by Newcastle International School Limited.

11. EFECTIVENESS

This contract is effective from the moment of signing and for the duration of the programme.
